ITC Service Group (“ITC”) , is seeking an experienced Administrative Assistant in Santa Clara California.  The Administrative Assistant will provide administrative support and be responsible for performing data entry duties, such as; verifying data, preparing documents for input, and reconciling system data. The ideal candidate will be motivated, works well with tight deadlines preferably experienced working in the construction/telecommunications industry.

Essential Duties and Responsibilities include, but may not be limited to:

  • Phone and email correspondence with field offices
  • Review dailies submitted by projects for accuracy and completeness
  • Review employee time records as recorded in the dailies for accuracy, legibility, and adherence to state wage and hour regulations
  • Input production and time record data from dailies into CMS software
  • Corresponds and coordinate activities to ensure deadlines are met
  • Process daily, weekly, and summary production reports from employees and contractors for input into the accounting/payroll systems

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required. 

All candidates are subject to a mandatory pre-employment background check, drug screen, physical exam, and must possess and hold a valid driver’s license with a clean driving record.

Required Experience

  • 3 plus years administrative experience
  • Strong knowledge and practical work experience with the Microsoft Office Suite
  • Excellent writing and verbal communication skills
  • Must have great organizational skills
  • Must be able to work in a fast-paced, often high-pressure environment, with proven ability to maintain composure
  • Ability to navigate through multiple computer applications with speed and accuracy
  • Ability to read and interpret documents
  • Be detail oriented with a focus on accuracy
  • Be able to demonstrate good communication and interpersonal skills

Preferred Experience

  • Experience working in the construction/telecommunications industry

Education and/or Certifications

  • High School Diploma
